What has to be on a roofing invoice?

A roofing invoice has to prove the job matches what was quoted. Squares get their own line, named by product, not a lump “materials” charge. Tear-off and disposal stay separate, and a permit line shows up whenever one applied.

Line item What it has to show
Squares (materials) Product, manufacturer, and square count, at 100 square feet per square.
Tear-off labor Hours or a per-square rate, separate from install labor.
Disposal Dumpster or haul-off charge, flat fee or by load.
Permit or inspection The fee your city or county charged, when one applied.
Insurance or supplement The deductible, plus any supplement the insurer approved.
Warranty terms Manufacturer and labor warranty, stated separately.
Payment terms Amount due, due date, and accepted methods.

Seven lines, one invoice.

How much of a deposit can a roofing invoice ask for?

In California, the down payment can be no more than $1,000 or 10 percent of the contract price, whichever is less (Business and Professions Code §7159(d)(8)). Beyond the down payment, the required contract notice says it is against the law to collect for work not yet completed or materials not yet delivered (§7159(d)(9)).

Maryland is tighter. A deposit can be no more than one-third of the contract price (Business Regulation §8-617(b)). Nothing can be collected before the contract is signed (§8-617(a)). A deposit past either cap is a compliance problem before it is a collections problem.

What does an insurance-claim roofing invoice add?

An insurance-claim invoice carries two lines a cash job does not. One is the deductible the homeowner owes. The other is any supplement: extra scope the insurer approved after the first estimate, such as hidden decking damage. Give each its own line so the paper trail matches the claim.

Florida regulates the sales pitch. Any message encouraging a claim must say the homeowner is responsible for the deductible. It must also warn that a contractor who knowingly pays, waives, or rebates the deductible commits insurance fraud, a third degree felony (Florida Statutes §489.147(1)(a)). Waiving the deductible to win the job is exactly what the statute targets.

How to build a roofing invoice, step by step

  1. List materials by square and product name

Name the product, manufacturer, and square count. No generic “materials” line.

  2. Break out tear-off, disposal, and the permit line

Each gets its own line. Add the permit fee when one applied.

  3. Add the insurance deductible or supplement, if the job is a claim

State the deductible as its own line, and give any approved supplement its own line too.

  4. Close with warranty, lien-waiver, and payment terms

State warranty terms, note when a lien waiver is due, then give amount due and payment method.

When should you send a roofing invoice, and what about the lien waiver?

Send it the day the final inspection clears or the job closes, whichever is last. A conditional lien waiver, effective once payment clears, belongs with a progress payment. An unconditional waiver, giving up lien rights outright, belongs only with final payment, once the check clears. Check your state’s mechanics lien statute for the exact form.

What roofing labor and a permit cost on top of the invoice

Frequently asked questions about roofing invoices

The required lines

What has to be on a roofing invoice?

Squares by product name, tear-off and disposal, a permit line if one applied, insurance or supplement on a claim, warranty, and payment terms.

Does a roofing invoice need a permit line?

Whenever your city or county required one, yes. Menifee, California lists $137.35 for a residential reroof (item 7.08) on its 2026 fee schedule, before state SMIP and green building fees; your own city sets its own number.

Deposits and state rules

How much can a roofing contractor charge as a deposit in California?

No more than $1,000 or 10 percent of the contract price, whichever is less, under Business and Professions Code §7159(d)(8), which covers residential roofing.

Does Maryland limit a roofing deposit?

Yes. One-third of the contract price, and none of it before the contract is signed, under Business Regulation §8-617(a) and (b).

Insurance claims and estimating

What does Florida require when a roofer pitches an insurance claim?

Any ad or message urging a roof-damage claim must state the homeowner owes the deductible and that waiving it is insurance fraud, under Florida Statutes §489.147(1)(a). Keep the deductible on the invoice as its own line.

Can I measure a roof with my phone camera instead of a tape measure?

Tape or wheel the roof and enter the dimensions. SimplyWise Cost Estimator then turns a job-site photo into an itemized estimate in about 6 seconds and carries those lines into the invoice.
