How to Fill Out a Roofing Invoice in 5 Steps

1

Step 1: Confirm what actually happened on the roof

Check the tear-off count and the squares installed against the estimate. Note anything that changed, like extra layers. The invoice bills what happened, not what was quoted.

2

Step 2: Fill in the contractor, client, and claim blocks

Add your business name, phone, and roofing license number, then the client’s billing address. If insurance is paying, add the claim number and adjuster’s name too.

3

Step 3: Enter every line item by category

List the tear-off, material, underlayment, and flashing. Add permit and disposal as their own lines. Skip the lump description. An itemized bill is the one a client or adjuster actually reads.

4

Step 4: Apply tax, the deposit received, and the balance

Add tax where your state requires it, then subtract the deposit received. What is left is the balance due. Show all three lines.

5

Step 5: State the terms and send it

Write the due date, late payment policy, and warranty in plain words. Then send it the same day. A fast bill gets paid fast.

Worked Example: A Full Tear-Off Reroof With an Insurance Claim

Ridgeline Roofing Co. tore off two layers of shingles after a hailstorm and installed new architectural shingles. Insurance covers most of the job, so the invoice goes out that evening with the claim number up front.

The filled invoice, block by block

  • Contractor block. Ridgeline Roofing Co., phone, and license number.
  • Bill to block. Renee Ashford, 4408 Cedar Hollow Rd, Tulsa OK 74133.
  • Invoice details. Invoice number, dates, job number, insurance claim number, and the adjuster’s name and phone.
  • Line items. Tear-off for two layers, then the new shingles. Underlayment and flashing each get a line. Then the permit fee and disposal.
  • Totals block. Subtotal, tax, the deposit received, and the balance due.
  • Terms. Due on receipt, a late payment policy, and the warranty.

Figures here are placeholders, not prices. Price the job with the construction calculators before you write a number.

Frequently Asked Questions

Filling out the invoice

What is the difference between a roofing invoice and a roofing estimate?
An estimate goes out before the tear-off and states projected squares and fees. An invoice goes out after the roof is finished and states what was delivered, plus a due date and the deposit received.
How do I bill tear-off separately from the new roofing material?
Give tear-off its own line, in squares, with the layers removed. Give the new roofing material its own line too.
Should the permit fee and disposal go on their own lines, or fold into labor?
Their own lines, both of them. A permit fee is a government charge passed through at cost, so it reads as a separate item.

Insurance claims, deposits, and getting paid

How do I show an insurance claim number on the invoice?
Put it in the invoice details block, next to the invoice number, with the adjuster’s name or phone. Then the adjuster matches it to their file at a glance.
Is there a limit on the deposit I can collect before I start the job?
It depends on your state. In California, the down payment on a home improvement contract cannot exceed $1,000 or 10 percent of the contract amount, whichever is less (Business and Professions Code Section 7159.5).
Does the free template include a way to take card payment?
No, on purpose. The payment methods block lists check, bank transfer, or a payment app handle.

A note on the numbers on this page

Every figure in the hero preview and worked example is a placeholder, not a market price. The three files ship with empty rate cells. This is not legal advice. Deposit limits, lien waiver timing, and sales tax vary by state, so confirm with your state’s contractor licensing board.
