What has to be on a landscaping invoice?

A landscaping invoice has to show what the client is paying for, by service and by material, not one number at the bottom. Break out labor by task, keep materials on their own lines with a quantity, and give equipment and hauling their own lines.

Line item What it has to show
Labor by service Mowing, pruning, planting, or install labor, each its own line.
Materials and plants Plant name and size, mulch or soil by the yard, with a quantity.
Equipment Rental or use charge beyond a standard mow kit, noted separately.
Disposal and hauling Debris or green waste hauling, its own line when it applies.
Sales tax Applied per your state’s rule for the job type, its own line.
Payment terms Amount due, due date, accepted methods, and the late fee rate.

Do landscaping services owe sales tax?

In Texas, mostly yes. Per the Comptroller: “If you do landscaping or lawn or plant care, you should be collecting sales and use taxes”. The taxable list includes “Planting, mowing, trimming and edging grass or other ground cover”. One carve out: solo operators are nontaxable below “gross receipts from the services of $5,000 or less during the most recent four calendar quarters.”

In Connecticut, “Landscaping and horticulture services” sit on the Department of Revenue Services’ list of taxable services under Conn. Gen. Stat. § 12-407, at the state’s general rate: “The sales tax rate of 6.35% applies to the retail sale, lease, or rental of most goods… and taxable services.”

Does an install get taxed the same as a mowing route?

Not in New York. Its guidance on landscapers turns on one line: the work is either a capital improvement or it is maintenance. A capital improvement, like “planting or installing a new lawn,” means “the customer should not be charged sales tax”. Plain maintenance stays taxable. Rules vary; confirm your own state.

How to bill an install differently from recurring maintenance

An install is not a mowing route.

  1. List labor, materials, and equipment by job, not lump sum

Every plant, every yard of mulch, every hour of labor gets its own line.

  2. Apply the right sales tax rule for your state and job type

Check whether your state taxes maintenance, installs, both, or neither, then set the tax line to match.

  3. Set payment terms and a late fee rate in writing

State the amount due, the due date, and the late fee rate on the invoice itself.

  4. Bill installs by progress draw, maintenance on a schedule

Deposit and progress draws for install work, a fixed recurring invoice per cycle for maintenance routes, no deposit needed.

What late fee can you charge, and how is it different from an estimate?

Put the late fee rate on the invoice in writing. California sets a default. “If a contract entered into after January 1, 1986, does not stipulate a legal rate of interest, the obligation shall bear interest at a rate of 10 percent per annum after a breach”. State your own legal rate, or the state default takes over.

An estimate proposes a price. The invoice bills work already done. Our landscaping estimate template covers the proposal side.

What landscaping labor costs on top of the invoice

Landscaping and groundskeeping workers earn a $20.33 mean, $18.82 median hourly wage nationally (BLS OEWS, May 2025), wage paid, not rate billed. Overhead and margin ride on top, per our contractor hourly labor rates by trade page.

Measure Hourly Annual Captured
Mean wage $20.33 $42,290 BLS OEWS May 2025, Sept 26, 2026.
Median wage $18.82 $39,150 BLS OEWS May 2025, Sept 26, 2026.
