Every Section a Cleaning Proposal Needs

A cleaning quote is a number. A cleaning proposal wraps that number in what the client reads before they sign. Eight sections do the whole job.

1

Client and facility

Client, address, type, and square footage.

2

Scope of work by area and frequency

Each area, its tasks, and how often.

3

Supplies and equipment provided

Who brings chemicals and equipment.

4

Staffing and supervision

Crew size and a supervisor contact.

5

Insurance and bonding

Liability, bonding, and workers compensation on file.

6

Pricing

A per-visit rate and monthly total per area.

7

Term and cancellation

Start date, term, and cancellation notice.

8

Acceptance and signatures

A line for you and a line for the client.

Cleaning Proposal vs. Cleaning Service Agreement

They differ in timing.

How to Write a Cleaning Proposal in 5 Steps

1

Step 1: Record the client and the facility

Name the facility, the signing contact, the type, and the approximate square footage.

2

Step 2: Break the scope out by area and frequency

List each area, its tasks, and how often. A single “general cleaning” line invites disputes.

3

Step 3: State supplies, staffing, insurance, and bonding

Say who provides chemicals and equipment, who supervises, and record your insurance and bonding. Facilities managers ask before price.

4

Step 4: Price by area, then total it

Give a per-visit rate and monthly total for each area, then a grand total.

5

Step 5: Set the term and close with a signature block

State the start date, term, and cancellation notice. Then end with a signature line for each side. Have your own attorney review contract wording.

Worked Example: An Office Cleaning Proposal

Meridian Clean Co. walked Cascade Ridge Business Park with facilities manager Dana Whitfield.

The proposal, block by block

  • Client and facility. Cascade Ridge Business Park, Dana Whitfield signing, office type.
  • Scope by area and frequency. Lobby nightly, offices nightly, restrooms twice daily, break room nightly, glass weekly.
  • Supplies, staffing, insurance and bonding. Meridian supplies chemicals and equipment, a two-person crew, a named supervisor.
  • Pricing. A per-visit rate and monthly total per area, then a grand total.
  • Term and cancellation. A one-year term, automatic renewal, and 30-day cancellation notice.
  • Signature block. A dated line for each side.

These figures are placeholders, not a price. Read how contractors start and price a cleaning business before you write a number.

Frequently Asked Questions

Proposal basics

What is the difference between a cleaning proposal and a cleaning service agreement?
A proposal wins the job and is sent before the client hires you. A service agreement is sent after they accept, and it binds both sides.
Do I need bonding and insurance to send a cleaning proposal?
Requirements vary by state and by client. Many commercial clients ask for proof of insurance and bonding before they sign. So this template has a dedicated section.
Is a signed cleaning proposal a legal contract?
It can act as an agreement once both sides sign the acceptance block. This is not legal advice, so have your own attorney review the wording.

Filling out the proposal

How should I price cleaning by area instead of one flat monthly rate?
List each area, a per-visit rate, and visits each month. Then total each area and sum a grand total. The client sees exactly what each area costs.
Can I price the job from a photo before I write the proposal?
Yes. SimplyWise Cost Estimator turns a photo into an itemized estimate in about 6 seconds. Carry the per-area prices into the proposal.
Does the free template include a way to take card payment?
No, on purpose. There is no card-number or CVV field in any version. Run card charges through your own payment processor.
