Cleaning Invoice vs. Cleaning Estimate
Here is where the two documents split.
| What the document does | Estimate | Invoice |
|---|---|---|
| When it goes out | Before the first cleaning. | After each visit, or per billing cycle. |
| Line items | Projected rooms, frequency, and add-ons. | Actual rooms cleaned and add-ons done. |
| Deposit | Requested, not yet applied. | Shown as deposit received against the total. |
| Next scheduled visit | Not yet set. | Listed for the client. |
| Signature | Client signs to approve the scope. | Not needed. |

How to Fill Out a Cleaning Invoice in 5 Steps
Step 1: Confirm what actually happened at this visit.
Check the rooms cleaned and the frequency. Note any change. The invoice bills this visit.
Step 2: Fill in the business and client blocks.
Next, add your business name, address, phone, and license number if required. Then add the client’s name and billing address.
Step 3: Enter every line item by category
List the rooms cleaned, the rate, and supplies. Give each add-on its own line too.
Step 4: Apply the recurring discount, tax, and the deposit
Apply the recurring-service discount first. Then add sales tax where required, and subtract the deposit. What is left is the balance due.
Step 5: Note the next scheduled visit and send it.
Write the next scheduled visit and the payment terms in plain words. Then send it the same day.
Worked Example: A Recurring Biweekly Clean With Add-Ons
Bright Home Cleaning Co. cleans a 3-bedroom, 2-bathroom home every other week. This visit the client also asked for the oven, so the crew adds it as its own line. The recurring-service discount applies before tax, and the invoice goes out that evening.

A note on the numbers on this page.
Every dollar figure on this page is a placeholder, not a market price. The three files ship with every rate cell empty, so you enter your own numbers. This is not legal advice. Sales tax, deposit limits, and license rules vary by state. Confirm them with your state before you fill in those lines.
