How to Fill Out an Electrical Invoice in 5 Steps

1

Step 1: Confirm what actually happened on the job.

Check the findings and circuits touched against the estimate. Note what changed. The invoice bills what happened.

2

Step 2: Fill in the contractor, client, and license blocks.

Next, add your business name, phone, and electrical license number, then the client’s billing address. Add the permit number and inspection status too.

3

Step 3: Enter every line item by category.

List the service call, labor by the hour, materials by part number, and the panel work. Add the permit and inspection fees as their own lines. Group similar items so the bill reads fast.

4

Step 4: Apply tax, the deposit received, and the balance.

Add tax where required, then subtract the deposit received. What is left is the balance due.

5

Step 5: State the warranty terms and send it.

Write the due date, late payment policy, and warranty in plain words. Then send it the same day. A fast bill gets paid fast.

Worked Example: A Panel Upgrade With a Permit and Inspection

Sparkline Electric Co. diagnosed an undersized panel on a service call, then upgraded it and added two circuits. The city required a permit and inspection, so both go on the invoice.

The filled invoice, block by block.

  • Contractor block. Sparkline Electric Co., phone and license number.
  • Bill to block. Dana Whitfield, 2117 Larkspur Ave, Boise ID 83706.
  • Invoice details. Invoice number, dates, job number, permit number, and inspection status.
  • Line items. Service call, panel swap labor, new panel and breakers by part number, two added circuits, then permit and inspection fees, each its own line.
  • Totals block. Subtotal, tax, the deposit received, and the balance due.
  • Terms. Due on receipt, a late payment policy, and the warranty.

Figures here are placeholders, not prices. Price the job with the construction calculators first.

Frequently Asked Questions

Filling out the invoice.

What is the difference between an electrical invoice and an electrical estimate?
An estimate goes out before the work and states projected costs. An invoice goes out after the job and states what was delivered, plus a due date and the deposit received. The client signs the estimate, not the invoice.
How do I bill the service call separately from the repair labor?
Give the service call its own flat line. Give repair labor its own hourly line.
Should the permit and inspection fee go on their own lines, or fold into labor?
Their own lines, both of them. A permit fee is a government charge passed through at cost, so it reads as a separate item. Folding either into labor hides what the client is paying for.

Licensing, permits, and getting paid.

Do I have to put my license number on the invoice?
Check your own state’s rule, because it varies. California Business and Professions Code Section 7030.5 states: “Every person licensed pursuant to this chapter shall include his license number in: (a) all construction contracts; (b) subcontracts and calls for bid; and (c) all forms of advertising, as prescribed by the registrar of contractors, used by such a person.” Confirm with your state licensing board.
How do I bill materials with part numbers without cluttering the invoice?
Give each material its own row, with the part number next to the description.
Does the free template include a way to take card payment?
No, on purpose. The payment block lists check, bank transfer, or a payment app handle. Run any card charge through your own processor.

A note on the numbers on this page.

Every dollar figure in the hero preview and worked example is a placeholder, not a market price. The three files ship with every rate and amount cell empty. This is not legal advice. License, permit, and sales tax rules vary by state and city, so confirm with your state’s licensing board or revenue department.
