Every Line Item a Plumbing Invoice Should Have

A plumber fixing a water heater in a utility room, the kind of visit a plumbing invoice bills for labor, parts, and a possible permit fee
A repair or an install with a permit pulled. Each visit becomes a set of lines on the invoice. Photo by Timur Shakerzianov on Unsplash.

A good plumbing invoice template bills what the estimate promised. Also add a due date, a deposit credit, and a balance. Next, bill these five lines on every job.

1

Labor

Hours on site, or a flat rate for a defined job. Either way, state which one you billed.

2

Parts

Every fixture, valve, and fitting gets its own line with a part number.

3

Permit or inspection fee

Pass the city or county fee straight through at cost, on its own line.

4

Trip or diagnostic fee

The charge for showing up and finding the problem. State it even if you waive it.

5

Disposal and hauling

An old water heater or a pulled toilet costs money to haul. So keep it visible.

Plumbing Invoice vs. Plumbing Estimate

The estimate is the quote. The invoice is the bill.

  • Estimate. Goes out before the work. Projected costs, a deposit request, and the client’s signature.
  • Invoice. Goes out after the work. Actual costs, the deposit as a credit, and a due date.

How to Fill Out a Plumbing Invoice in 5 Steps

1

Step 1: Confirm what happened on site

First, check the diagnostic notes against the estimate. Then note any changed part or permit. In other words, the invoice bills what happened, not what was quoted.

2

Step 2: Fill in the contractor and client blocks

Next, add your business name, phone, and license number, then the client’s billing address. Also list a different property address separately.

3

Step 3: Enter every line item by category

Then list the trip fee, labor, parts with part numbers, the permit fee, and disposal as separate lines. A lumped bill is the one a client calls about.

4

Step 4: Apply tax, the deposit credit, and the balance

Add tax where your state requires it, then subtract the deposit. What is left is the balance due. Show all three lines.

5

Step 5: State the terms and send it

Finally, write the due date, late payment policy, and warranty in plain words. Then send it the same day. After all, a bill that arrives fast gets paid fast.

Worked Example: A Water Heater Replacement With a Permit

For example, Rapid Flow Plumbing found a leaking water heater. Then the crew came back the next day with a new unit and a permit. Finally, the invoice went out that evening.

What went on the invoice

  • Line items. Trip fee, flat install labor, the water heater and expansion tank with part numbers, the permit fee, and haul away.
  • Totals block. Subtotal, tax, a deposit credit, and the balance due.
  • Terms. Due on receipt, late payment policy, and warranty.

Figures here are placeholders, not a price for a water heater, a permit, or labor. Price the job with the construction calculators first.

Frequently Asked Questions

Filling out the invoice

What is the difference between a plumbing invoice and a plumbing estimate?
An estimate goes out before the work with projected costs. An invoice goes out after, with actual costs, a due date, and any deposit credit.
How do I show a deposit on the invoice?
List the full total, then a deposit credit applied line, then the balance due. All three lines save a phone call.
Should the permit fee and the trip or diagnostic fee get their own lines, or fold into labor?
Their own lines, both of them. A permit fee is a government charge at cost, not your markup. A trip fee covers finding the problem before repair labor starts.

Measuring and getting paid

Can I write up a job from a photo instead of measuring and listing parts by hand?
Yes. SimplyWise Cost Estimator turns a photo into an itemized estimate in about 6 seconds. The line items carry straight into the invoice once the job is done.
Does this template have a place for sales tax?
Yes, a tax rate line sits between the subtotal and the total. Taxability varies by state, so check your state revenue department.
Does the free template include a way to take card payment?
No, on purpose. The payment block lists check, bank transfer, or a payment app handle. Run card charges through your own processor.

A note on the numbers on this page

To be clear, every dollar figure on this page is a placeholder, not a market price. For example, the downloadable files ship with every amount cell empty. This is not legal or tax advice, so confirm sales tax and permit rules with your state and city.
