How to Write an HVAC Invoice: What It Must Include
An HVAC invoice has to carry more than a total. Here is every line it needs, when to send it, and how it differs from the estimate before it.
What has to be on an HVAC invoice?
An HVAC invoice has to prove the work happened and let the client pay without calling to ask what a line means. Every part needs a model number, refrigerant gets its own line, labor and the diagnostic fee stay separate, and a permit line shows up when required.

How do you invoice refrigerant on an HVAC job?
EPA Section 608 sets the certification rule. It requires that “technicians who maintain, service, repair, or dispose of equipment that could release refrigerants into the atmosphere must be certified.” The invoice rule matters more here. At 50 pounds or more, EPA is direct. It states that “technicians servicing appliances that contain 50 or more pounds of ozone-depleting refrigerant must provide the owner with an invoice that indicates the amount of refrigerant added to the appliance.” That catches rooftop units, not most residential systems. Do state rules add anything to an HVAC invoice?
Some do. Texas requires that “the affiliated licensee’s number must appear on all proposals and invoices for air conditioning and refrigeration work,” plus the company name, address, phone, and a fixed regulatory notice line. Confirm your own board before you lock a template.

How is an HVAC invoice different from an HVAC estimate?
An estimate is the proposal, a projected price sent before work starts. The invoice bills work already done, and its numbers should match what happened on site, not the projection. When should you send an HVAC invoice?
Send it the same day the job closes. For a multi-day install, invoice on completion, unless a signed deposit schedule says otherwise.
