Construction Cost Codes: A Small Contractor’s Setup Guide
Construction cost codes are numbered labels that sort every job dollar into a category. A small crew needs about seven, taken from NAHB’s 3800 block. Below: both systems and a list to copy.

What are construction cost codes?
Construction cost codes are short numbered labels attached to every cost on a job. Think a stick of lumber, an hour of framing, a permit fee. Each dollar lands in a category instead of one lump total. That lets you compare this job to the last and catch a trade that ran over. Two organizations publish the systems contractors borrow from. The Construction Specifications Institute built its system for design documents. NAHB built its system for a builder’s own books.
What is the CSI MasterFormat system?
The Construction Specifications Institute describes MasterFormat as “the construction industry’s shared and standardized language for project documentation”. It calls the standard “the framework relied upon across North America to organize how project requirements are described, understood, and executed”.
MasterFormat sorts work into numbered divisions. They include Division 01, General Requirements; Division 02, Existing Conditions; Division 09, Finishes; and Division 26, Electrical. CSI calls its 2026 edition “a significant update that introduces 2,185 new and 617 reorganized listings”. Its lookup tool is, in its own words, “taken offline” as of this writing. Treat any third-party division list as unofficial until it returns.
What is the NAHB chart of accounts?
NAHB publishes a full Chart of Accounts for builders. It runs from petty cash to income tax provisions, with a four digit number for every account.
Most of that chart is bookkeeping a solo contractor never touches. The useful block sits at codes 3800 to 3899, an alternative NAHB offers remodelers and builders. In NAHB’s own words: “The following accounts can be used by remodelers and builders to directly post construction costs to cost of sales, instead of posting direct construction costs to 1430, direct construction cost”. That seven code block is the closest thing to a ready made list a small crew needs.
How do you set up a simple cost code list?
Start from NAHB’s 3800 series instead of inventing new numbers.
| Code | Category | Description |
|---|---|---|
| 3810 | Direct labor | Includes the gross wages paid to lead carpenters and crews engaged in the remodeling process. |
| 3820 | Labor burden | Payroll taxes and Workers’ Compensation insurance, as well as other items such as health insurance, life and disability insurance that relate to gross wages paid to the field crew. |
| 3830 | Building material | Cost of materials used on a remodeling project. |
| 3840 | Trade contractors | Cost of trade contractors used on a specific remodeling project. |
| 3850 | Rental equipment | Cost of rental equipment used on a specific remodeling project. |
| 3860 | Other direct construction costs | Includes cost of small tools consumed on a specific remodeling project, cost of permits and fees for a particular project, and any other direct construction costs not otherwise classified. |
| 3870 | Professional design fees | Costs paid to architects, engineers, interior designers, certified kitchen designers, and bath designers for use on a specific remodeling job. |

How do cost codes map to your estimate line items?
-
Pick one system
Choose MasterFormat under an architect, or NAHB if you run your own numbers. Mixing both on one job breaks the bookkeeper’s trust.
-
Code the estimate line
Every material, labor, and fee line should carry a code before the quote goes out. SimplyWise Cost Estimator already splits a draft into those three line types.
-
Keep trade contractors separate
Code 3840 tracks a subcontractor’s invoice apart from your own crew’s labor. An over budget plumber then shows up on its own line, not buried in payroll.
-
Total by code
Add up every code at job’s end. Compare the total to the matching estimate line to see which category ate the margin.

Frequently asked questions about construction cost codes
The systems
What are construction cost codes?
Numbered labels attached to a cost on a job, such as a material, a labor hour, or a fee. Every dollar then sorts into a category.
What is the difference between CSI MasterFormat and the NAHB chart of accounts?
MasterFormat organizes design and specification documents by numbered division. The NAHB chart of accounts organizes a builder’s own bookkeeping, including a small direct cost block built for remodelers.
Setting up your list
How many cost codes does a small contractor need?
